If you’re considering working in Malaysia, one of the first and most important steps is understanding how the Employment Pass (EP) application works. While the process may seem complex at first—especially if you’ve never worked overseas before—it’s actually quite straightforward once you know what to expect.
In this article, we’ll walk you through how the Malaysia Employment Pass application process works, what documents are required, and what you need to do before and after approval so you can prepare with confidence!
Visa documents - Start preparing before/during interview process to save time!
Here are the 2 important documents that could take a long time to prepare:
- Passport - If you have less than 18 months validity, you need to renew your passport first for us to apply for your Employment Pass in Malaysia. Please give us a heads up if you don't have enough validity.
- Academic certificate & Transcript - If you are keen to work in Malaysia, we strongly advise you to communicate with your high school/college/university to request issuance of Academic certificate and Transcript before or during the interview process. Based on our experience, it tends to take up to 2 weeks for the issuance, and this could be a huge time loss for your visa application.
The rest of the required documents are very simple and easy:
- Visa photo - Light blue background ONLY!
- Resume - we will give you a specific format.
If you are successfully selected, we will ask you to submit the above 4 documents after extending an offer of employment.
Application process - Let us do it for you!)
Once you pass the required documents to us, our internal visa team will submit your documents to immigration on behalf of you. So, basically you just need to wait for the visa approval while you prepare yourself for relocating to Malaysia.
On average, after documents submission, the process takes 1-2 months until visa approval. However, sometimes it can delay unexpectedly due to some seasonal reasons in Malaysia such as year end and Ramadan and Hari Raya and when this happens, we just need to be patient since such delays are common in Malaysia.
Also, we as a company cannot guarantee your visa approval but only help you to maximize the chance to get visa approval since the final decision is up to Malaysia immigration. However, you do not need to worry too much about not getting visa approval because we only invite those who are eligible for Employment Pass requirements and highly likely to get visa approval to the interviews in the first place!
Visa approval - relocation preparation
Once your visa is approved, we will start arranging your flight ticket and hotel accommodation near our office in Ara Damansara together with airport-hotel transportation.
There is just one thing we need to you do at this stage, which is online eVisa application.
For those who enter to Malaysia as Employment Pass holders, obtaining eVisa (or Single Entry Visa) before flying into Malaysia is mandatory. The application can be completed easily online, and we will guide you through it when the time comes so no worries!
Relocation - joining day
Once the relocation arrangement is done, you just need to hop on the flight that we arrange for you and come to Malaysia!
There will be a driver that we arrange waiting for you at KLIA/KLIA2 to take you to the hotel accommodation; so, your journey will be pretty much door-to-door.
You can start looking for a place to rent online, and the best thing about moving in Malaysia is the majority of condominiums are all furnished and you can often just immediately move in!
On your joining day, we will help you with opening a local Malaysian bank account as well.
